EPOD
All SUB-HAULER’s are required to implement the use of Interlink’s EPOD System. This is an application that can go on any smartphone or tablet that allows electronic load assignments, delivery receipts and the ability to report inspections and damages. The use of the EPOD system is MANDATORY. BROKER must have all drivers that are under dispatch phone number and email address. No STI deliveries are allowed at any drop locations (excluding only Port approved locations). Anything outside of this provided by SUB-HAULER to BROKER as Proof of pickup and delivery will not be accepted and could result in NON-PAYMENT to SUB-HAULER. If SUB-HAULER has issue with the EPOD System, notification to DISPATCH must be made at time of load pickup before driver exits loading terminal. If there is an issue at delivery on emailing dealer a copy of the BOL or documenting damages or inspection details, SUB-HAULER is to contact DISPATCH or 903.873.8118 option 1 for assistance before signing the EPOD and leaving delivery location.
(Damages should be reported ASAP to BROKER) SUB-HAULER is responsible for all damages and condition of assigned vehicles from the point of driver taking possession of assigned vehicles (meaning as soon as driver moves vehicle from assigned bay location) to point of signed delivery at assigned destination. (The entire time the vehicles are in the SUB-HAULERs custody.)
Drivers should always perform a pre-load inspection of each and every vehicle they are assigned before moving the vehicle. Vehicle should be inspected from roof to tires. If there is anything found at the time of the pre-load inspection, being a damage, minor or major, a cover issue, a manufacturer defect, or missing item, or high mileage the driver is NOT to move the vehicle. Driver must contact the Load Supervisor (or DISPATCH if Load Supervisor is unavailable) to get written permission to (1) move the vehicle if it has to be moved for further inspection- moving request can only be allowed by OEM Representative and (2) get written permission to load and ship the vehicle AS IS. (AS IS means with the pre-existing damage or the lack of all required items inside of the vehicle.) Always notate whom gave driver permission to load/ship vehicle AS IS. Printed name and signatures are required when available. If signature is unavailable driver should always contact Dispatch for confirmation that they have received documentation that preexisting damage/issue will not be the responsibility of the SUB-HAULER and driver before moving the vehicle in question.
If the SUB-HAULER has an event in which any DRIVER assigned cargo is damaged or delayed in delivery, the SUB-HAULER must notify BROKER within 12 hours of the event. All severe and or total loss damages must be reported to the Broker ASAP, no less than 12 hours of the event.
Subject to Inspection (STI) is NOT a signed BOL /EPOD and leaves BROKER, SUB-HAULER, and Driver open to damage liability claims.
If there are damages notated on Proof of Delivery, BROKER will suspend payment to SUB-HAULER for up to 9 months until BROKER receives a claim demand on the pending damage repairs or confirmation of a NO CLAIM is received from delivery contact. BROKER can hold an estimated amount or full invoice for pending damages and other SUB-HAULER due invoices if the damage is deemed a major damage or total loss claim. SUB-HAULER will be held liable for the final repair cost of any damages notated on the Proof of delivery. Whether the final bill is more or less than the estimate provided or more than held funds.
Use of the Interlink Load Manager EPOD system is MANDATORY for proof of pick up, delivery, and notating damages.
